Call for applications: ACCES 2025 projects assistant
The Music In Africa Foundation (MIAF) seeks to appoint a Projects Assistant for the ACCES 2025 music conference in Tshwane, South Africa, from 30 October to 1 November 2025.
- Delegates at a panel discussion at the 2024 ACCES music conference in Kigali, Rwanda. ACCES, the MIAF's biggest offline project, goes to a different African city every year.
The projects assistant will support the planning and implementation of ACCES 2025. Working closely with the project manager and wider MIAF team, the Projects Assistant will handle a range of logistical, administrative, and coordination tasks to ensure the smooth running of the event and related activities.
The Music In Africa Conference for Collaborations, Exchange and Showcases, or simply ACCES, is a pan-African platform for music industry players from across the continent to exchange ideas, discover new talent and accelerate the shaping of the vibrant music sector on the continent. ACCES is held in a different African city every year, attracting delegates from more than 40 countries. The event takes place over three days, offering a dynamic programme including training workshops, panel discussions, presentations, live performances, networking sessions, exhibitions and visits to key music industry hubs in the host city. The position will run from August to November 2025. The call is only open to applicants based in Gauteng, South Africa.
Key responsibilities
- Assist with day-to-day project administration including scheduling, minute taking, and follow-ups.
- Support the coordination of meetings and site visits with suppliers, stakeholders, and partners.
- Help maintain project documentation, timelines, and status trackers.
- Assist in coordinating travel, accommodation, and accreditation for delegates, artists, and speakers.
- Support the production of event materials (e.g., badges, signage, info packs).
- Liaise with venues and service providers to monitor deliveries, technical setups, and other event logistics.
- Respond to general queries from participants and partners via email or phone.
- Assist in preparing presentations, briefing documents, and stakeholder updates.
- Support outreach and communication with local partners, vendors, and service providers.
- Provide hands-on assistance during the conference, including at registration, session venues, and live performance locations.
- Help supervise volunteers and interns where necessary.
- Support troubleshooting and real-time coordination across venues.
- Assist in data collection for reporting and monitoring purposes.
- Contribute to post-event evaluations, reports, and knowledge-sharing sessions.
Requirements
- A diploma or degree in Project Management, Events, Arts Administration, Communications, or related field.
- At least 3 years of work experience in project support, events, or administration.
- Strong organisational skills and attention to detail.
- Excellent written and verbal communication skills.
- Ability to work under pressure and handle multiple tasks.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace.
- Experience in the cultural/creative industries sector.
- Familiarity with ACCES or similar large-scale events.
- Knowledge of Tshwane’s arts, culture, and event ecosystem.
- Ability to work flexible hours, to accommodate event schedule, including evenings, weekends and holidays.
- Great people skills and ability to work in a team is a must.
